Multi-Tool Funnel & Backend System Architecture

CASE STUDY:

Roel’s program required a structured backend system connecting website, payments, CRM automation, and operational tracking — without relying on an all-in-one platform.

The objective was to build a sustainable lifecycle system while maintaining clear enrollment visibility.

The backend was built using a layered multi-tool approach:

  • Framer – Website built externally

  • Stripe – Payment processing

  • Kit (ConvertKit) – Automation and CRM management

  • Make – Integration between Kit and Google Sheets

  • Google Sheets – Client tracker for operational visibility

Flow Structure

System Architecture

  1. A client purchases via Stripe (embedded on the Framer website).

  2. Stripe sends transaction data via webhook to Google Sheets.

  3. Google Sheets acts as the master enrollment database.

  4. Make passes structured data from Google Sheets into Kit.

  5. Kit applies the correct program tag and triggers the appropriate automation sequence.

This architecture ensures both automation and operational visibility are maintained.

Revenue Protection

An abandoned checkout sequence was implemented to re-engage incomplete purchases automatically.

This protects potential revenue without manual monitoring.

Mid-Program Engagement

A scheduled Temperature Check email containing an embedded survey is sent during delivery.

Client responses trigger conditional automation, dynamically adjusting follow-up communication based on engagement.

Lifecyle Automation

Once inside Kit:

  • Clients are segmented by program category

  • Automated onboarding begins

  • Delivery sequences are triggered

  • Offboarding and upsell workflows activate at defined stages

Each program tier follows its own structured journey.

Outcome

The result is a cohesive backend system that:

  • Automates onboarding and delivery

  • Maintains centralized enrollment tracking

  • Protects revenue through abandoned checkout recovery

  • Monitors engagement mid-program

  • Operates seamlessly across multiple tool
